Information for Volunteers at CSC 2010

Volunteers are ambassadors and play an important and valuable role in supporting the conference.

Volunteer Training Session

There will be a volunteer training session held on Friday, May 28 at 13:30–4:30 in the Metro Toronto Convention Centre, room 103. All volunteers must be able to attend this session. The training session will cover audio visual and general information. Volunteers will be given t-shirts at this session, an information hand out, floor plans of the convention centre and a business meetings schedule. After the session 20 volunteers will be asked to stay until approximately 16:30 to assist with kit / bag stuffing.

Volunteers are asked to familiarize themselves with the program, business meetings and overall conference facility. All conference information can be found on this website and information on the convention centre can be found at www.mtccc.com.

Volunteer Registration

Volunteers must register and pay for their conference registration prior to the conference. If they work 2 days, whether it be 1 full day plus two half days or four half days to reach 2 days the registration fee will be refunded.

Lunch

Volunteers are responsible for their own lunches. Lunch breaks are between 12:20–13:40 for all conference participants. Volunteers covering the session rooms will be allowed to leave the rooms from 12:20–13:00 for lunch.

Session Room Volunteers

Session room volunteers will welcome the session chair and presenters and will be responsible for uploading the presenters’ presentations between 07:00–08:00 for morning presentations and 13:00–13:40 for afternoon presentations.

During lunch breaks the session room volunteers can only leave the room after the last person has left including the presenter and session chair and must close the door once the room is empty. The doors to all session rooms will be locked from a central location within the convention centre and will be re-opened at 13:00 by the convention centre. It is very important that the volunteers responsible for the session rooms stay in the rooms at all times, except lunch breaks, to guard the valuable audio visual equipment.

Session room volunteers will be given an attendance sheet do an approximate head count of participants in the sessions and must return these to the volunteer room once completed.

Volunteer Floaters

Volunteer floaters will be scheduled on each day. These floaters will be around the session rooms and will act as runners for the Conference Programs Officer. They can replace any volunteers at session rooms should the session room volunteer need to step away for a short break.
